Labels

Labels are a flexible tagging system that enables you to categorize and organize tasks across LMI. Each label has a name and optional color, making it easy to visually identify related tasks regardless of which workflow or team they belong to. Labels can be applied to any task and are used to filter views, group related work, and quickly identify task categories.

Labels provide a way to classify tasks beyond the structure of workflows and teams. Use labels to:

  • Categorize tasks by project, topic, priority level, or any custom classification
  • Visually identify related tasks through color-coded badges on task cards and lists
  • Filter task views to focus on specific categories of work
  • Organize work across multiple teams and workflows using consistent tags
  • Create saved views based on label combinations for quick access to filtered task lists

Navigate to Settings → Task Management → Labels from the sidebar.

The Labels page displays all configured labels in a searchable, sortable table.

Use the search box to find labels by name. The search performs partial matching on the label name.

Click the Filters button to filter labels by criteria.

Access saved views from the actions dropdown menu to quickly switch between frequently used filter combinations.

  1. Click the three dots menu button next to the Labels heading
  2. Select New Label from the dropdown menu
  3. Fill in the label information in the edit panel
  4. Click Save to create the label

Click on any label name in the table to open the edit panel. The edit panel displays as a side sheet where you can modify the label’s properties.

  • Label Name - The display name (required)
  • Description - Optional description text
  • Label Color - Click to open the color picker and select a new color

Click the color field to open the color picker. You can:

  • Select from preset color swatches
  • Enter a custom hex color code
  • Use the color spectrum to choose any color

Labels are applied to tasks through the task editing interface. Once labels are created in Settings, they become available for use on any task.

Labels appear as colored badges on task cards and list rows:

  • Single label: Shows the color dot and label name
  • Multiple labels: Shows stacked color dots with count (e.g., “3 labels”)
  • No labels: Shows a label icon placeholder

  1. Click the label badge on a task card or in the task detail view
  2. A dropdown opens showing all available labels
  3. Check labels to apply them to the task
  4. Uncheck labels to remove them
  5. Changes are saved automatically when the dropdown closes

Labels are available as a filter option in task views:

  1. Click the Filters button in any task list or board view
  2. Select Labels from the filter options
  3. Choose one or more labels to filter by
  4. The view updates to show only tasks with the selected labels

Labels can optionally be scoped to a specific team. Team-scoped labels are managed from the team settings.

  1. Navigate to Settings → Task Management → Teams
  2. Click on a team name to open the team detail
  3. Look for the Labels option in the team management interface

Team administrators can create labels that are specific to their team’s workflows and categorization needs.

Each task can have zero or more labels applied. Labels provide an additional layer of categorization on top of the workflow, status, and task type structure.

Labels can be associated with a team for team-specific categorization. Global labels (without team association) are available across all teams.

Labels are integrated into the filtering system across LMI. You can filter by labels in:

  • Task list and board views
  • The All Tasks view
  • Dashboard blocks
  • Dispatch and service views
  • Use clear, concise names that indicate the category’s purpose
  • Keep names short enough to display well in compact views (2-3 words recommended)
  • Use consistent capitalization across labels
  • Avoid overly specific names that limit reusability
  • Assign distinct colors to different label categories for quick visual scanning
  • Use color families for related labels (e.g., shades of blue for project-related labels)
  • Consider colorblind-friendly choices when possible
  • Avoid using colors that conflict with status colors in your workflows
  • Start with a small set of labels and expand as needed
  • Create labels for cross-cutting concerns that span multiple workflows
  • Use descriptions to document when a label should be applied
  • Review and consolidate labels periodically to prevent tag sprawl
  • Consider creating a naming convention document for your team

  • Cause: The save operation may not have completed
  • Resolution: Refresh the page and verify the label appears in the list. If not, recreate it and ensure you click Save.
  • Cause: Page cache may be showing stale data
  • Resolution: Refresh the task view. Label changes sync in real-time via PowerSync, so a refresh should show current data.
  • Cause: Labels with tasks assigned cannot be immediately deleted (depending on configuration)
  • Resolution: Remove the label from all tasks first, or the system may handle cascade deletion automatically.
  • Cause: Filter may be combining with other active filters
  • Resolution: Clear other filters to isolate the label filter, then verify results.
  • Cause: No labels have been created yet
  • Resolution: Navigate to Settings → Task Management → Labels and create the labels you need.
  • Cause: Display rendering or contrast with background
  • Resolution: Try adjusting the color to a more saturated or contrasting value. Test how it appears on both light and dark backgrounds if your interface supports themes.
